You negotiated the rebate. Did you collect all of it?
Each supplier program has its own tiers, dates and paperwork. The supplier's statement tells you what they think you earned. That isn't always what you earned.
Sound familiar?
- Rebate programs live in Excel, one tab per vendor, with purchases pasted in from the ERP.
- You track your top five or ten suppliers closely and hope the rest are close enough.
- SPA and ship-and-debit claims pile up, and each supplier wants them a different way.
- Nobody checks the year-end statement against your own purchases.
- You've found a missed tier, or an unclaimed rebate, after the period closed.
- One person holds most of the program knowledge, and everyone knows it.
What it costs
For many distributors, rebates are a large share of profit, not a nice extra. Money left in this year's programs is usually gone once the period closes. And the programs you aren't watching are the ones most likely to be short.
What you do today
Purchasing or a rebate analyst runs SQL and spreadsheets against supplier statements, builds claims at quarter-end, and joins supplier calls to argue the differences. Buyers know the programs, but claiming isn't their real job, so it slides. Rebate software exists, but setup is heavy and the odd deals still fall through. An annual audit firm looks back after the year is over.
What we do
We check what you earned against what each supplier paid, and build the claims for the gap, in full and on time, with backup your team approves before it goes to the supplier. You also see which programs are close to the next tier while there's still time to act.
See what's left in one supplier program
Pick one program. Send its terms and your year-to-date purchases with that supplier. We'll come back with what you've earned against what you've been paid, then walk you through it in 15 minutes. We're taking on a few distributors this quarter.
